Symbioza (“we”, “us”, “our”) respects your privacy and is committed to protecting your personal information, including health information where it is relevant to providing our services. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

What information we collect
Depending on how you interact with us, we may collect:
Identity and contact details: your name, email address and phone number (and your address if needed).
Bookings and attendance: appointment and class details, passes and packs purchased, attendance, and our communications with you.
Health information (sensitive information): injury or condition details, assessment notes, treatment plans and progress notes, where these are needed to provide our services safely.
Agreements: your acceptance of our liability waiver, terms and conditions and cancellation policy.
Payments: invoice details and payment status. Card payments are handled by our payment providers, and we do not store full card details.
Social media enquiries and leads: information you give us through Facebook or Instagram messages or lead forms.
Website activity: information about how you use our website and online booking pages, collected through cookies and similar tools (see section 6). -

Why we collect and use information

Our booking systems
Cliniko (Symbioza Studio 1). We use Cliniko to manage Symbioza Studio 1 bookings, communications and, where relevant, clinical records and notes. Cliniko may use trusted service providers to deliver its service, and states that Australian-based accounts store data in Australia. More information: www.cliniko.com/security.
Mindbody (Symbioza Studio 2). We use Mindbody to manage Symbioza Studio 2 class bookings, client profiles, passes and packs, payments, agreements and communications. Mindbody may store and process information outside Australia. More information: www.mindbodyonline.com/legal/privacy-policy. -
Facebook and Instagram (Meta) advertising and lead forms
Symbioza advertises on Facebook and Instagram. Meta may collect information about how people interact with our ads, pages and lead forms under its own settings and privacy policy: www.facebook.com/privacy/policy.
If you submit an enquiry through a Meta lead form or message, we will use the details you provide to contact you by phone, text message or email about the offer you enquired about, to answer your questions and to help you book. We may record your details in our booking system (Mindbody or Cliniko) so we can follow up and manage your booking.
We do not ask for, and do not intentionally collect, health information through Meta lead forms. If you choose to share health details through social media messages, please keep in mind that those platforms are not controlled by us. -
Cookies, the Meta Pixel and website tracking
Our website (built on Wix) and our Mindbody online booking pages use cookies and similar tools, including the Meta Pixel and Meta's Conversions API. These tools send information to Meta about actions taken on our website and booking pages, such as pages viewed, bookings and purchases, so we can measure and improve our advertising and show relevant ads.
You can control or delete cookies through your browser settings, and you can manage the ads you see through your Facebook and Instagram ad settings. Blocking cookies may affect how some parts of our website work. -
Who we may share information with
We share information only as needed with:
our booking and practice management systems (Cliniko and Mindbody)
our website provider (Wix)
payment processors, to process payments
email and SMS providers, for reminders and communications
Meta, as described in sections 5 and 6
professional advisers, such as accountants and insurers, where required
regulators or law enforcement, where required or authorised by law
other health professionals or emergency contacts, when necessary for your safety or with your consent
We do not sell your personal information. -
Overseas disclosures
Some of our service providers, including Mindbody, Wix and Meta, may store or process information outside Australia, including in the United States. Where this happens, we take reasonable steps to use reputable providers that protect your information. -
Direct marketing
We may send you relevant updates or offers. You can opt out at any time by using the opt-out option in our message, or by contacting hello@symbioza.com.au. -
Storage and security
We take reasonable steps to protect your information from misuse, interference, loss, unauthorised access, modification or disclosure, including limiting access to authorised people and using reputable systems. -
Access and correction
You can ask to access or correct your personal information by contacting hello@symbioza.com.au. We may need to verify your identity before responding. -
Retention
We keep information only for as long as we need it to provide our services and to meet legal, tax, insurance and record-keeping requirements. After that, we securely delete or de-identify it. -
Complaints
If you have a privacy concern, please contact us first at hello@symbioza.com.au or 0487 253 954, and we will respond within a reasonable time. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au or on 1300 363 992. -
